Monitoring of the PhD student

In general, the provisions of Article 11 of Royal Decree 99/2011 of 28 January 2011, which regulates official doctoral studies, shall apply to the supervision and monitoring of doctoral students.

In any case, the development procedure of this regulation approved by the different universities for the monitoring of the doctoral student will be applied.

The Academic Coordination Committee of the Doctoral Program will be composed of a professor from each of the participating universities (Local Coordinator) and will coordinate between the universities. It will be responsible for student admissions, the annual evaluation of the activities document and the research plan, authorizing part-time doctoral studies, temporary leaves of absence from the program, co-supervision, stays, and activities for doctoral students. It will also assign tutors, supervisors, and co-supervisors, of both sexes. The Academic Coordination Committee will meet in person at least once a year and as often as necessary via the virtual meeting platform. Fluid communication will also be maintained through an online mailing list. The matters discussed and agreements reached at these meetings, both in person and online, will be recorded in the corresponding minutes. Decisions and agreements made for operational reasons via the mailing list will be reflected in the minutes of the following meeting.

PhD Program Coordinator and Local Coordinators.
Local Coordinators are chosen by agreement at each university from among the tenured professors or full professors participating in the doctoral program and who have proven experience in research and doctoral thesis supervision. They will be endorsed by the respective university, and may also include researchers from other public research organizations. The Doctoral Program Coordinator will be appointed by agreement of the rectors of the participating universities, based on a proposal from the Academic Coordination Committee. The program coordinator must be a relevant researcher and hold at least two periods of recognized research activity in accordance with the provisions of Royal Decree 1086/1989, of August 28, the last of which must have been granted within the last seven years.

The Doctoral Program Coordinator acts as President of the Academic Coordination Committee. The President's University acts as Coordinator of the Interuniversity Doctoral Program. The general procedures for developing the Program follow the agreements signed in the corresponding agreement by the Rectors of all participating Universities.
Procedure used by the Academic Coordination Committee of the Doctoral Program in Interdisciplinary Gender Studies

For the assignment of the doctoral students' tutor and thesis supervisor, as well as any changes to them. All universities participating in the Doctoral Program in Interdisciplinary Gender Studies adhere to the following procedure for the assignment of the doctoral students' tutor and thesis supervisor, as well as any changes to them.

Once a student has been admitted to the doctoral program, the Academic Coordination Committee will assign each doctoral student the following in view of their documentation:
– Upon admission to the program: a tutor, who will hold a doctorate, with proven research experience and a permanent affiliation with the institution where the doctoral student is enrolled. The tutor will serve as a link between the doctoral program's academic coordination committee, the university where the doctoral student is enrolled, and the student.
– Within a maximum of six months from registration: a supervisor. This position may or may not coincide with the tutor. This supervisor will be responsible for overseeing the successful development of the research. This supervisor will be a doctor of any nationality with proven research experience.

The thesis may be co-supervised when there are academic reasons, such as thematic interdisciplinarity or programs developed in national or international collaboration. In the case of co-supervised theses, the Academic Coordination Committee will approve the co-supervision and appoint thesis supervisors. A doctoral thesis may be supervised by a maximum of two doctors, of either sex.
Universities will establish the supervision duties for doctoral students through a written agreement signed by the university, the student, the tutor, and the supervisor, in the manner established. This agreement will be signed as soon as possible after admission and must include a dispute resolution procedure and address issues related to intellectual or industrial property rights that may arise within the scope of doctoral programs.

The procedure for signing this commitment by the director, tutor and doctoral student will be as follows:
· Once the doctoral candidate has been admitted to the programme, the documentary commitment form will be given to the doctoral candidate at the time of formalising his/her enrolment.
Within six months of enrollment, you must submit the documentary commitment signed by your thesis director and tutor, to be attached to the activities document and filed in your personal file.

The Academic Coordination Committee, after consulting the doctoral candidate, may modify both the tutor and the thesis supervisor at any time during the doctoral program, provided there are justified reasons. Once it receives a justified request from the doctoral candidate for a change of tutor or thesis supervisor, the Academic Coordination Committee of the doctoral program will appoint an instructor, who will be a doctoral candidate participating in the doctoral program and with proven experience in theses supervision. After consulting the doctoral candidate, the tutor, and the thesis supervisor, the instructor will prepare a report on the appropriateness or otherwise of the requested change. Based on the report, the Academic Coordination Committee will decide on the appropriateness or otherwise of modifying the appointment of the tutor or thesis supervisor.

Procedure used in the PhD program in Interdisciplinary Gender Studies to control the record of each doctoral student's activities and certify their data:

All training activities undertaken, and, where applicable, any additional training courses completed, will be recorded in a single, individual document for the doctoral program called the Doctoral Student Activity Document, which will be reviewed regularly by the thesis supervisor and advisor. The advisor will submit this document to the Academic Coordination Committee at least once a year.

Upon admission, each student will be opened by the doctoral academic coordination services, a personalized file containing the following:

– The documentation provided by each student for admission to the doctorate.

– The documentary commitment.
– The Research Plan, which will include, at a minimum, the objectives, methodology, and timeline. This plan must be approved by the thesis supervisor and the tutor (if different) and may be improved and detailed throughout the development of the doctoral thesis.
– A copy of all resolutions issued by the Academic Coordination Committee that affect the doctoral student (for example: assignment of a tutor, thesis supervisor, or modification thereof).
– The joint supervision agreement in the case of theses co-supervised by two institutions.
– Information on grants and scholarships received for completing the doctoral thesis.
– The Activity Document, which will include all reports issued by the tutor regarding the training activities carried out by the doctoral student during each period, as well as supporting documentation for these activities and, if applicable, any additional training courses completed.
– In the case of jointly supervised theses between two institutions in the same or different countries, the Activity Document will detail the time the students spent at each institution.
Procedure used in the PhD program in Interdisciplinary Gender Studies for the annual review and evaluation of the PhD student's Research Plan and activity log:
Both the tutor and the supervisor(s) will regularly review the doctoral student's activity log, certify the student's data, and in particular, all training activities completed. They will prepare an annual report on the doctoral student's activities and a report on the degree of compliance with the research plan and any possible modifications. These reports, along with the updated doctoral student's activity log, will be submitted to the Academic Coordination Committee for evaluation.

The Academic Coordination Committee will evaluate the research plan and the activity log each academic year. The research plan will be evaluated based on the methodology to be used and the objectives to be achieved, as well as the means and timeframe for achieving them.

The plan may be modified, and any such change must be approved by the tutor and the director. A positive evaluation is essential for continuing in the program. In the case of a negative evaluation, the student must be re-evaluated within a maximum of six months, for which a new research plan will be drawn up. A second negative evaluation will result in permanent disenrollment from the program.

The annual evaluation of activities carried out by part-time students will take into account the special conditions regarding availability of time and schedules for carrying out certain activities.

Provision of doctoral students' stays at other national and international training centers, joint supervisions, and international European mentions

The doctoral program will encourage students to undertake at least a three-month stay at prestigious academic institutions or research centers abroad during their doctorate program, thereby obtaining an international distinction. If students pursue their doctorate part-time, they may divide their stay as needed, as outlined in Training Activity 4 of the Doctoral Program in Interdisciplinary Gender Studies.

Prior to the stay, the Academic Committee of the Doctoral Program in Interdisciplinary Gender Studies will be informed of the details and will authorize it. The stay and the activities carried out during it must be endorsed by the director of the host institution or center.
Along these same lines, joint supervision of doctoral theses will be promoted between directors of participating universities and other foreign centers or universities, or between a senior and a junior director, with the goal of reaching 10% of the total number of theses registered. The target will be 20% of theses generated in the program to obtain the European mention.

Commitment to monitoring and follow-up
The supervision, mentoring, and monitoring duties of doctoral students will be reflected in a Supervisory Agreement. This Supervisory Agreement, which will be drawn up by the Academic Committee of the doctoral program in Interdisciplinary Gender Studies and will include the explicit commitment of the designated tutor/director for each doctoral student, will be incorporated into the Activities Document.

The Supervision Agreement will specify the conditions for completing the thesis, the rights and duties of the doctoral student, including any intellectual property rights arising from the research, as well as the procedure for resolving disputes. The duties of the doctoral student's supervisor and the thesis supervisor will also be included.
